Theft and non-return
A hire vehicle that does not come back is the most expensive failure in the business. A hidden wired tracker keeps reporting position and ignition state after the contract lapses, so recovery starts from a current address rather than a last-seen desk note. What the rental desk needs from the platform

Run the distance report for the exact hire window and attach it to the contract file. Trip history gives start and stop times, stop duration and route, settling most arguments about where a car went.
Route playback for damage and incident claims
Playback plus a timestamped impact alarm tells you when and where a shock occurred. On camera-equipped cars the locked clip from the same moment closes the loop; the D9 and A9 both lock files on a G-sensor event.
Immobilisation, where the model supports it and local regulations allow
Remote fuel or power cut is a recovery tool for a non-returned vehicle, not a collections tactic. Use it only on a vehicle confirmed stationary with the ignition off, keep the permission with one named manager, and check local regulations.

Worked example: pricing an excess-mileage claim
Take a hire of D days at A included kilometres per day, a distance report of M kilometres for the window, and a contracted excess rate of R per kilometre.
Billable excess is max(0, M - (D x A)) x R. For a 7-day hire at 200 km per day the allowance is 1,400 km; a reported 1,850 km leaves 450 excess kilometres to price at your own R.
Cross-check against the odometer. If the two diverge by more than a few percent, look for a tracker that lost coverage or an unplugged OBD unit before you bill.

Disclosure, privacy and the rental agreement
Tell the renter in writing, in the agreement they sign, that the vehicle is tracked. A clause naming the device, the data collected, the purpose and the retention period costs nothing and puts the disclosure on the record.
Requirements differ by country. Data-protection, consumer-rental and in-cabin recording requirements are not the same from one market to the next, and a cabin-facing camera may be treated differently from a road-facing one. Check local regulations for every market you operate in.
- Name the device and its purpose in the agreement: location, distance, speed and, where fitted, video.
- State who inside the business can see the data and for how long, then configure platform user roles to match.
- Where a cabin-facing camera or microphone is fitted, check local regulations separately and consider disabling audio by default.
- Keep day-to-day access to alerts and reports, reserve live view for incidents, and log who ran a location lookup and why.
How to roll out tracking across a rental fleet
A realistic timeline from enquiry to a fitted fleet is six to ten weeks: 3-10 samples in 5-7 business days by courier, two to four weeks piloting on live hires, then 3-7 days for in-stock models or 15-25 days after deposit for a custom run.
